How much does an AI WhatsApp assistant cost for a small business?

Budget for three separate things: building the assistant, keeping it running, and paying for platform and AI usage. A setup price alone is not your monthly operating cost. Start with one customer journey and ask for a quote that separates each line.

Marco's published offer: from US$750. See scope and separate costs below.

Separate setup from the cost of running it

Setup covers the work needed to make the assistant useful in your business: approved answers, escalation rules, integrations and testing. A bot that answers opening hours is a different scope from one that checks availability, qualifies a lead and writes a booking into your calendar.

Monthly care is the engineering work around that assistant: hosting, monitoring and improving it when your information or integrations change. Model usage and WhatsApp charges are a separate budget question. Ask what is included, what is passed through, who owns each account and how you will see the bill.

Meta's official pricing describes charges based on delivered messages, their category and the recipient's market, with exceptions described on its pricing page. Do not estimate the bill by multiplying every chat by a single assumed rate. Ask for an estimate based on your actual inbound and outbound messaging pattern.

The integration is often the scope question

For a first release, choose one journey: for example, answer approved service questions, collect contact details and hand the lead to your team. That is a proposed scope, not a claim about a deployed client system. Only add automatic booking when the assistant can read reliable availability and handle failures without promising a slot it has not reserved.

Before comparing proposals, name the calendar or CRM, check whether it has an API and decide who provides access. Include bilingual questions, incomplete messages, cancellations and a request to speak to a person in the acceptance examples. These details make two quotes meaningfully comparable.

Bring this brief to the scoping call

Use your existing process as the starting point. You do not need a perfect knowledge base, but somebody in the business must approve what the assistant is allowed to say and do.

  • The customer journey to automate, and the point where a person takes over.
  • Current message volume, busy periods, languages and any outbound reminders.
  • Approved services, prices, opening hours and policies, with a named owner for updates.
  • The exact calendar or CRM, required actions and access constraints.
  • Rules for personal data, conversation retention and staff access.
  • A launch checklist, a monthly spending limit and a way to pause the assistant.

When a simpler solution is the better buy

If most messages are identical and your team can reliably answer them, templates or a simpler workflow may be enough. An AI assistant is worth evaluating when customers phrase the same needs in different ways and staff need help collecting context, not merely sending a fixed reply.

Agree on what you will measure before launch: whether answers match approved information, whether handoffs reach the right person and whether bookings are recorded correctly. Establish your own baseline for response time and staff effort. A provider cannot promise savings or revenue without knowing that baseline.

Common questions

Is the setup fee the total cost?

No. Separate the one-time build from monthly care, WhatsApp charges and AI usage. Ask for a written breakdown of what is included and what varies with usage.

Can I estimate WhatsApp fees from the number of chats alone?

Not reliably. Meta's pricing depends on message category and recipient market, with exceptions. Use the official pricing page and your expected messaging pattern rather than a single assumed rate for every chat.

Can an assistant be guaranteed never to give a wrong answer?

No. Approved information, testing, limited permissions and human handoff reduce risk, but they do not guarantee perfect answers. Define what happens when the assistant is uncertain or an integration fails.
